1. Information we collect
We collect the requester or purchaser’s name and verified email address, order and payment status, the memorial subject’s name and dates, epitaphs, uploaded photographs, plot codes, visitor tributes and technical information needed to operate and secure the service.
2. Why we use it
Information is used to verify requests, create and display memorials, process orders and refunds, deliver plot links, respond to support or privacy requests, prevent abuse and maintain the security and reliability of Groomstone. Annual reminders are sent only when the purchaser opts in and may be unsubscribed from.
3. Public information
Names, dates, epitaphs, causes of bachelorhood’s “death”, photographs and tributes submitted for a memorial are intended to be publicly visible once the memorial is published. Purchaser email addresses, payment information and private PINs are not displayed publicly.
4. Photograph permission
The purchaser confirms that they have permission to upload and publicly display each photograph. A person shown in a photograph may contact Groomstone to request review, correction or removal. We may temporarily hide disputed content while considering a request.
5. Service providers
Payment information is handled by our approved payment provider, and verification and service emails are handled by our email-delivery provider. Groomstone does not store full card numbers. Providers process limited information only as necessary to provide their services.
6. Security and retention
Private plot PINs are stored as protected cryptographic fingerprints rather than readable PINs. We retain order and memorial information for as long as needed to supply the service, meet legal obligations, resolve disputes and prevent fraud. Information no longer required is deleted or de-identified where reasonably possible.
7. Your choices
You may request access to, correction of or deletion of personal information, object to certain processing, or lodge a complaint with South Africa’s Information Regulator. Requests may require reasonable identity verification to protect the memorial and purchaser.
